EPS and Your Privacy

The European Physical as the Data Controller(EPS) adheres to the principles, regulations and provisions of the GDPR in all its operations and activities both in France and Europe. EPS has published this information to explain how we collect, protect and use the information we keep in our database.

Your contact information on our database

The contact information held by EPS may include your name, organisation, current home or business address, telephone/mobile phone number, and e-mail addresses. As an EPS Member, you have access to your profile page, where you may add additional information and modify information held by the EPS.

How do we collect information?

All learned societies collect information, and it is done in a variety of ways, which we have

listed below.

• Directly from you when you provide information by phone, via our website or in documentation you may complete and forward to us
• When you register for events, functions, promotions or membership
• From third parties who conduct related activities such as our publications, conferences and Member

How do we use your contact information?

Below, please find the ways the EPS might use your information.

• To keep you abreast of the services we provide to members and business associates
• To provide our members with the services they are entitled to under the terms of their membership
• To administer and manage those services
• To conduct research and develop our services as we improve our understanding of your needs and requirements
• To inform you of EPS activities such as prizes, workshops, publications etc.
• To create new services that may be of interest and value to members

When do we disclose your contact information?

From time to time, and in the normal course of our activities, we need to entrust our information to outsiders. For example :

• Service providers, e.g. to print badges for conferences
• Third party mailing systems, e.g. to allow delivery of printed and other material, such as Europhysics News as well as electronic communications such as e-EPS

The steps we take to protect you

We see it as an important principle of doing business that when disclosing your information to a third party (such as those kinds of suppliers listed above), we also give them as if they were currently subject to the GDPR. Accordingly, we make it a condition of doing business, both in France and elsewhere in Europe, that they also take the steps necessary to protect the information we give them as provided for under GDPR.

EPS makes all reasonable efforts to ensure that the information we collect is accurate, complete and up-to-date at the time of collection. If your circumstances change, or you believe our records are not accurate, complete or up to-date, please contact us immediately and we will take all reasonable and necessary steps to amend the information.

How long do we keep your information?

You may email or write to us directly. Members are able to update their details directly on this website in their profile pages
